Jobing Description

Sales coordinator will focus on increasing sales revenue for the hotel through consistent sales activities, marketing and customer service. Each function supports the basic premise of driving new and repeat business to the hotel.

FIRST LEVEL
Daily tasks

  • Respond to customer phone inquiries (phone TBA)
  • Promptly respond (within 24 hours) to customer email inquiries with groups and meeting requests, prospect and tentative or definite business (response template will be provided; email account: sales@stíameshote!.com )
  • Maintain efñcient sales office procedures and insure the maintenance of accurate and updated account files and follow-up procedures

    Respond to leads (links and passwords will be provided):
  • Convention Center leads
  • Convis iLeads
  • G.O. Leads
  • Lanyon RFP's
  • Other incoming leads

    Corporate Agreements:
  • Respond to inquiries about direct corporate agreements ftemplare will be provided)
  • Any requests for Direct Blli accounts need to be discussed with the GM (DB request form will be provided)

    Generating and Managing Group Business
  • Submit group offers (template will be provided)
  • Fill out and sign group contracts (template will be provided)
  • Setup group blocks for tentative and definite bookings
  • Follow up on submitted offers and tentative blocks to entice bookings
  • Notify GM and FOM about upcoming definite group bìocks
  • Fill out and distribute Meeting information form to notify all departments about upcoming meetings lat least 1 week before event)
  • Communicate with hotel department heads to plan function details, such as space requirements, time schedule, food services, Av equipment
  • Manage group blocks to ensure room pickup and prompt payment
  • Regular contact with future definite groups and meetings

  • Inform client about booking policies, deadlines and charges
  • Collect method of payments or necessary deposits
  • Review room blocks and pickups
  • Obtain detailed meeting information
  • Answer client's questions

  • Remind all departments about upcoming group arrival/meetings - 1 day before arrival, check the status of meeting room and other requested services/amenities

  • Serve as coordinator during function to minimize confusion and resolve problems, such as space adjustment and need for additional equipment
  • interact with client when groups are in­house:
  • Personal welcome
  • Periodic contact
  • Exit interview for referrals
  • Participation in pre and post convention meetings (applies to convention blocks)
  • Monitor billing to ensure that proper charges apply while the group is in-house and after check out
  • To ensure repeat business, follow up with the group leader a few days after check:
  • Obtain feedback
  • Respond to any possible pending inquiries (Le. email receipts, return lost and found, correct charges, etc.)
  • Invite to use the property again
  • Possibly set dates for the next event

    Other tasks

  • Periodically check all relevant websites to ensure accurate content
  • Generate sales ideas that can potentially increase business and discuss with the GM and RM
  • Communicate with the Revenue Manager regarding the following:

  • potential new OTA partners
  • questionable group or corporate requests
  • questions about the amount of discount to be offered to a group/company
