This position is located at the Naval Air Warfare Center, Weapons Division, China Lake, California. As an Office Manager you will serve as the principal assistant to the supervisor/manager of an organizational branch (or similar organization); the principal assistant to a supervisor/manager of a small organizational division (or similar organization); the senior specialized clerical employee performing procedural business functions; or the intermediate assistant performing substantive work in a specialized business area.

DUTIES:

Major duties and responsibilities:

Prepare letters and memorandum in accordance with NAWCWDINST 5216.7g, NAVAIRINST 5216.8C, and SECNAVINST 5216.5D. and to review standard correspondence, reports and other documents to ensure proper grammar, spelling, punctuation and format.

ddle> Process training requests (SF-182) and ensures that all requests are completed in a timely manner, as well as verifying that the process is reviewed through the training center within the time given.

ddle> Arrange travel reservations, authorizations, and vouchers through DTS (Defense Travel System) including foreign travel in accordance with Joint Travel Regulations and submit all Government Travel Cord applications for new employees.

ddle> Coordinate meetings, conference calls, and VTC s.

ddle> Provide basic problem detection and troubleshooting of office equipment. Generate on-center and off-center security clearances, visit requests and SAAR-N documentation for branch/division employees (including renewals) as needed.

ddle> Coordinate the arrival of new hires including coordinating badge arrangements, and maintain log for SAAP badges and keys, issuing both as required processing CSR s and aiding the new hires with knowledge of the general government business practices.

ddle> Provide inventory support with all supplies that are ordered for division.

File, sort mail, duplicate and/or documents (i.e. Public Releases and memorandum), coordinate the Branch/Division head s calendar, receive telephone calls, greet visitors, and ascertain the nature of all calls and visitors as well as referring them to the appropriate staff.

QUALIFICATIONS REQUIRED:

In addition, your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-04 grade level or pay band in the Federal service or equivalent experience in the private or public sector OR successfully completed four years of education above high school level in any field for which high school graduation or the equivalent is the normal prerequisite. Specialized experience is defined as experience that is typically in or related to the work of the position to be filled and has equipped you with the particular knowledge, skills, and abilities, to perform successfully the duties of the position. Specialized experience must demonstrate the following:

demonstrates in preparing correspondence, and reports, presentation of information, finalizing and formatting correspondence, answering phones, initiating travel orders, completing travel vouchers, coordinating meeting schedules and arrangements, receiving and directing visitors.

SPECIAL REQUIREMENTS

Generally, current Federal employees applying for GS jobs must serve at least one year at the next lower grade level. This requirement is called time-in-grade. All qualifications and time-in-grade requirements must be met by the closing date of this announcement.

This position is in the Science & Technology Reinvention Laboratory (STRL) Human Resource Management System pay band for Department of Defense laboratories.

The pay schedule for all Administrative Support Positions will be DG-1/2/3/4/5/6.

This Position is subject to Department of Defense Priority Placement Program.
