Jobing Description
Our client assists California almond handlers and growers in marketing high quality almonds at competitive prices to their partners and end users around the world.
The Customer Service Representative handles the sales process from order placement to delivery. They manage logistics, documentation, labeling, and shipping to all markets to ensure timely delivery and satisfaction.
Basic Function
To receive and process requests and complaints in an effective and timely manner.
Responsibilities
1. Ensure timely processing for standard almond shipment once a contract is received to the time orders are shipped and documents received.
2. Communicate with packers to ensure product availability.
3. Ensure special shipment instructions are included, per customer requests.
4. Request booking either in house or through freight forwarder.
5. Prepare shipping instruction, booking confirmation and send details to the appropriate packer and customer.
6. Work directly with packers to ensure timely shipment of containers as scheduled.
7. Communicate post shipment details to forwarders/customers/AES as needed and ensure timely receipt of documents.
8. Receive inquiries and complaints and conduct research to resolve matters in a timely order.
9. Write required information and additional information for each inquiry received in the appropriate spreadsheet and make necessary notations to the file.
10. Prepare the initial response to the customer and send notification to the packer requesting their findings.
11. Provide feedback as necessary.
12. Apply knowledge about company policies, procedures and pricing to best meet customer needs.
13. Process customer information on computer system in an efficient manner to provide quality service.
14. Analyze customer records on computer system, and make any corrections and/or modifications within company guidelines.
15. Write correspondence for customers in regards to their account status.
16. Contact customers to obtain missing information or data to ensure complete and accurate records and review for accuracy.
17. Follow up with packer to ensure timely arrival of documents.
18. Send documents to 1) freight forwarder 2) if in house, then to customer as deemed per the payment terms (direct to customer or to their bank).
19. Keep accurate notes as needed in the customer file regarding the various activities associated with the shipment.
20. Perform other related duties as assigned.
