Description
REQUIRED QUALIFICATIONS:
* Mo minimum degree requirement but possesses the expertise and experience necessary to provide direct client services as required in the Statement of Work for this contract
* Proficient in MS Office (Word, Excel, Publisher, Access, and Outlook)
* Write professional correspondences in English
* Detail-oriented and highly motivated
* Ability to work independently and maintain deadlines
* Schedule flexibility in order to provide extended weekday and weekend office coverage
PREFERRED QUALIFICATIONS:
* Two years secretarial/data entry experience
* Bilingual Spanish—verbal and written
REPORTS TO:
Children's Bureau Project Coordinator Adoptions Promotion and Support Services Grant POSITION DESCRIPTION:
The Secretary/Data Entry Clerk is responsible throughout the above grant period for secretarial/data entry support to program leadership and program staff in accordance with the CB APSS contract operations in the assigned SPA (Service Planning Area). The program goal and outcome is that children referred to CB through this grant by L.A. County will have permanency and stability in their living situations through adoption when adoption is in the best interest of the child.
DUTIES AND RESPONSIBILITIES:
* Maintain forms and documentation required for grant
* Produce Opening Packets for new referrals
* Open and close files and complete filing on a flow basis
* Audit files and provide feedback to program leadership
* Produce Paperwork Due reports for staff
* Document and provide support during meetings and coordinate calendars
* Maintain internal database and County web-based program
* Complete monthly “billing”
* Order and inventory supplies
* Check in and out materials from the Resource Library
* Help with general office coverage in conjunction with other programs
* If bilingual, provide translation for clients and forms
* Provide childcare when needed for groups and meetings, as scheduled on extended weekday and weekend GENERAL:
* Maintains confidentiality in matters of agency operations, personnel, and clients
* Maintains positive communications with all agency staff, clients and visitors
* Exercises good judgment in performance of duties and responsibilities
* Supports existing agency policies, principles and mission Other related duties as assigned
